By creating an account or using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with the practices described here, you should not use the Service.

This Privacy Policy applies to all users of the Service, including business owners, their staff members, and any individuals whose information is entered into the platform by our customers.

2.Information We Collect

We collect information that you provide directly to us when you register for an account, use the Service, or communicate with us. The types of information we collect include:

3.Account Information

When you register for an account, we collect your full name, email address, and a password. Your password is stored using a one-way hashing function and is never visible to our staff or stored in plaintext. We use your email address to send you account-related communications, verification codes, and service updates.

You may also provide a company name and other business details during registration or in your account settings. This information helps us customize your experience and is visible only to users within your own workspace.

4.Business Information

The Service is designed for rent-a-car businesses, and we collect information about your business operations. This includes the number of vehicles in your fleet, your business size, and operational preferences. This information is used to provide you with the appropriate features and plan tier for your needs.

Business information you enter into the Service — such as vehicle rates, rental packages, and expense records — is stored in your private workspace and is not shared with other customers or made public.

5.Vehicle and Booking Data

You use the Service to manage your fleet and bookings. The data you enter includes vehicle names, models, colors, number plates, rental rates, availability status, and booking details such as pickup and return dates, client information, and rental durations.

This data belongs to you and your business. We do not access, review, or share your vehicle or booking data unless required for technical support, security investigations, or legal compliance. All vehicle and booking data is stored in your isolated workspace.

6.Payment and Transaction Information

The Service allows you to record payments, track outstanding balances, and manage expenses related to your bookings. We store the payment amounts, payment types (cash, bank transfer, online), payment dates, and related notes that you enter into the platform.

We do not process credit card transactions or store full credit card numbers within the Service. Payment processing for subscription billing is handled by our third-party payment provider, Stripe, which operates under its own privacy and security policies. We do not store your full credit card details; Stripe tokenizes and secures all payment instruments.

7.How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve the Service and its features
  • Authenticate your identity and secure your account
  • Process your bookings, payments, and expense records as you enter them
  • Send you service-related communications, including verification codes, password resets, and account notifications
  • Respond to your support requests and technical inquiries

Your data is stored on cloud infrastructure provided by our hosting providers. All data is stored in databases that are access-controlled and require authentication to read or modify. Access to production data is restricted to authorized personnel who require it for system maintenance, support, or security purposes.

Each customer's data is stored in a separate, isolated workspace. Data is not co-mingled between customers, and your workspace is identified by your unique account identifier. See Section 10 for details on data isolation.

9.Data Security

We take reasonable measures to protect your data from unauthorized access, alteration, or disclosure. These measures include access controls, authentication requirements, and regular security reviews of our infrastructure.

Despite these measures, no method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your data, we cannot guarantee absolute security. You are responsible for maintaining the security of your account credentials and for controlling access to your workspace.

We do not claim specific security certifications or compliance standards that have not been formally verified. If we obtain formal certifications in the future, we will update this section accordingly.

10.Data Isolation Between Customers

Every customer account on the Service receives a completely isolated workspace. Your vehicles, bookings, customers, payments, expenses, invoices, reports, and analytics are stored separately from those of every other customer.

Access to your data is governed by row-level security rules tied to your account. No user from one workspace can view, access, modify, or delete data belonging to another workspace. This isolation is enforced at the database level and is a core architectural principle of the Service.

If you invite staff members to your workspace, they will have access to your business data based on the role you assign them. You are responsible for managing staff access within your workspace.

11.Cookies and Similar Technologies

The Service uses cookies and similar technologies (such as local storage) to maintain your authentication session, remember your preferences, and analyze how the Service is used. Authentication tokens are stored in your browser to keep you logged in across sessions.

You can configure your browser to refuse cookies or alert you when cookies are being sent. However, some features of the Service may not function properly if cookies are disabled, particularly authentication and session management.

12.Third-Party Services

We use third-party services to operate and improve the Service. These may include:

  • Cloud hosting and infrastructure providers
  • Email delivery services for verification codes and notifications
  • Payment processing (Stripe) for subscription billing
  • Analytics and error monitoring tools

These third-party providers have access to your information only as necessary to perform their functions on our behalf and are obligated not to disclose or use it for other purposes. Each provider operates under its own privacy policy, and we encourage you to review those policies.

You have control over the data in your workspace. You can add, edit, and delete vehicles, bookings, customers, payments, and other records at any time through the Service interface.

You can export your data from the Service using the available export features. If you choose to terminate your account, you should export all desired data before termination, as we may not be able to recover your data after your account is closed.

To delete your account and associated data, contact us using the information in Section 19. We will process your request within a reasonable timeframe.

15.Data Retention

We retain your data for as long as your account is active. If you terminate your account, we will delete your workspace data within a reasonable period, typically within 30 to 90 days, unless legal obligations require longer retention.

Some data may be retained in backup systems for a limited period as part of our disaster recovery procedures. This backup data is eventually deleted according to our backup retention schedule.

16.User Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • The right to access the personal information we hold about you
  • The right to request correction of inaccurate information
  • The right to request deletion of your personal information
  • The right to request a copy of your data in a portable format
  • The right to object to certain processing of your information
